You can send mailings, or mailshots, to the people involved with one or more dossiers or to organizations. Mailshots sent from a dossier are stored in the dossier concerned; mailshots sent from the ‘Organizations’ overview screen are stored under the corresponding organizations.
You can choose between sending a ‘quick’ e-mail or a ‘detailed’ one.
For a ‘quick’ e-mail, you select whothe mail is intended for, fill in the subject and content and select ‘Send’.
A ‘detailed’ e-mail is based on a template. This is useful if you need to send a standardized e-mail regularly. You can prepare them, completely ready to go. This is also the method to use if you want to include attachments. Make sure first that there is a template for the mailshot that you want to send. The application manager or key user can create and make changes to e-mail templates. When you have selected an e-mail template, you can still change its content for this mailshot.
There are various screens that you can send mailshots from.
- Dossier screen (from a student, e-mail to the student, linked teachers and contacts at the organization)
- Dossier overview screen (e-mail to several students, linked teachers and contacts from the organization)
- Student overview screen (independently of the current dossiers)
- Organization overview screen (e-mail to contacts at the organizations, e.g. acquisition mailshots)
- Vacancy overview screen (e-mail to contacts who have been selected or entered for the vacancy)
- Coaching groups screen
From an overview screen for dossiers, students or organizations, you first make a selection, then choose the 'Send mailshot' bulk action at the top right of the screen.
From the dossier overview, you click the 'Mailshots' icon in the top right.
You can now choose a template and make any necessary changes to it. Select the recipients.
