The following exceptional situations occur with some regularity:
1. A dossier could be completed but not everyone has yet filled in a completed their activities properly.
- The first question is whether the unfinished steps are important enough to require them to be filled in after all. Assessments and assessment forms in particular are very important for accreditation.
- If that is not the case, a “Forced completion” can be done for a dossier. That means that the dossier is flagged as having been completed successfully, even though not all the tasks have been finished.
- Forced completion can be done for any dossier by appending an ad hoc activity and selecting the activity type ‘Forced dossier completion’.
- Multiple dossiers can be completed this way using the menu; then select ‘Dossier overview’.
- Select the coaching group and click ‘Search’.
- Select the dossier or dossiers and pick the bulk action ‘Force dossier completion’.
2. A dossier needs to be cancelled because the student dropped out of their study programme.
- Multiple dossiers can be cancelled this way using the menu; then select ‘Dossier overview’.
- Select the coaching group and click ‘Search’.
- Select the dossier or dossiers and pick the bulk action ‘Unlink student from coaching group'.
- The dossier can be cancelled in the dossier screen itself, stating the reason, by using and then selecting the ‘Cancel’ option.
3. Additional information needs to be uploaded, or an extra assessor needs to be able to view the dossier.
- Extra steps can be appended to individual dossiers by adding activities to them. Use the button and select the appropriate activity type
- If the same additional step is required for several dossiers, adding an optional activity to the process template is a better alternative.
- Adding or replacing a coach can also be done through the coaching group’s overview screen by selecting the student or students and performing the mass action.
